Access to Holiday Planner
Users of the system can be granted FULL, WORK CENTRE or READ ONLY access to the holiday planner. FULL ACCESS will allow the user to view and amend all holidays, including factory and work centre holidays. WORK CENTRE access allows the user to put work centres on holiday only. Users with READ ONLY access will still be able to view the planner via the Maintenance menu, however, it will be marked as READ ONLY.
This user access is controlled in the user access rights in the Admin section under the Maintenance List access rights. For more information on this, please refer to the Administrator Functions > Access section of the manual.
The holiday planner will open with the current month and year showing and will default to employee holidays too. The current year can be changed using the year option at the top left of the window while the month can be changed using the tabs along the top of the employee list.
The user also has options to filter the employee holiday list by using the GROUP BY options at the top of the screen.
This allows the user to reduce the list down to just a select group of employees based on the selected filter.
If the user wishes to add factory or work centre holidays, they can change the scope of the planner by selecting the appropriate value from the drop-down list at the top. This will update the planner view accordingly.
Choosing Work Centre will update the holiday planner to show all the system work centres as shown below, whilst the Factory option shows only a single “factory” entry for adding the holidays which will be applied across all employees and work centres. Both of these are shown below.

For further visibility of the employees, the user also has an option to include any T&A absences in the holiday planner chart. the SHOW ABSENCES option is located at the top of the Holiday Planner screen and allows them to see further availability of employees based on any future absences that may have been planned, and also see previous absences if required.
Absences will be shown as P (paid) or U (unpaid) on the holiday planner for clarity as shown in the example below.

The user can add new holidays by simply clicking on the date they wish to apply the holiday to on the holiday planner grid. By default the holiday will be for a “full day” but this can be changed to “half day am”, “half day pm” or “custom hours” using the drop down list at the top of the screen.
NOTE: “Custom hours” option is only available to employee holidays and only when the system is set up to record holidays in hours.
Employee Holidays
When adding employee holidays, the user can select the holiday type from the drop down list and then simply click on the grid to record that holiday and type. If the holidays are being recorded in hours and the user selects the “custom hours” option, they will be prompted for additional information regarding the start and end point of the holiday.
This is simply entered as a time (for example, 10:00 to 14:00). Once the period is entered, the user can then click on the grid to record the required holiday. Examples of all the various employee holiday types are shown below.
The user can also specify a holiday SUB-TYPE from the drop-down list at the top. This simply allows further categorisation of the holiday for further analysis. This drop-down list works in conjunction with the T&A Sub-Types list created in the List maintenance section.
This information is recorded against the T&A record created for the holiday which can be viewed in the T&A section of Progress.
When viewing the holiday planner for employees, the user can also see the shift hours for the applied holiday by hovering the mouse over the holiday in the grid. This will show the shift hours as follows.
Work Centre Holidays
The user can apply holidays to specific work centres in the system. This could be due to the operator being off and no one else available for that work centre or to allow for essential maintenance to be carried out on the work centre. Again, the user must select the work centre option from the scope drop-down menu and then select the holiday duration before clicking the appropriate dates in the grid. Some examples are shown below.
Once holidays are applied for work centres, these dates will be unavailable and not be considered as available periods as part of the work centre capacity figure or as available time in the Shop Floor Loading (SFL) section. This will also be highlighted in the work centre itself under the capacity section, more of which will be explained later.
Factory Holidays
Factory holidays are days/periods where the entire company closed. These are typically used to record statutory holidays or factory shutdown periods. To apply factory holidays, the user must select the factory option from the scope drop-down list and also the duration required before the click on the grid to apply the holidays. Examples of the holiday types are shown below.

When factory holidays are applied to the system, they also show up on the employee and work centre (labelled “f” or “F”) since they are also applicable to these categories too.

To remove holidays from the holiday planner, the user just needs to click on the holiday in question and it will be removed. This applies to all three section of the holiday planner. As with all changes, the user must click the ACCEPT option to save any changes made.
This option allows the user to generate a full printed version of the planner for all employees for a selection of periods.
The selected report will be previewed on-screen first but will allow the user to print a hard copy if required.
This option allows the user to print off the holiday report showing all the holidays for each employee for the currently year. The report will be previewed on-screen first but will allow the user to print a hard copy if required.
This functionality allows users/employees to have direct reports. This allows users to manage groups of employees' holidays, T&A and see their SFDC Status. If the system and user access rights are configured to use this functionality, employees can be assigned responsibility for other employees. A good example of this would be a shop floor supervisor who has employees who report to him and whom he manages. This functionality will restrict the employees in the holiday planner to just those the current user is responsible for.
This is configured via the user access permissions in the Admin section of Progress. Users can be set as ENABLE RESPONSIBLE FOR in the Employee access rights.
Activating this permission will also allow the functionality to be applied to the Holidays access.
When an employee/user is assigned responsibility for employees, the employees are added to their employee record in the Responsible tab.
Accessing the Holiday Planner now restricts them to only those employees.
